Privacy Policy

Sugarpine Property Management LLC ("Sugarpine", "we", "us") provides real estate advisory services and analytical software, including the RV Underwriter deal-analysis platform. This policy explains what information we collect, how we handle it, and the choices you have. The short version: we collect only what the service needs, your card details never touch our servers, your deal documents stay on your device, and we never sell your information.

1. What we collect

We collect only the information necessary to provide, authenticate, and improve our services:

Account information: your name, email address, and, if you provide it, phone number.
Usage information: your plan, how many analyses you have run, and technical logs needed to operate and secure the service.
Deal documents: the property documents you choose to upload for analysis, handled as described in section 3.

2. How we use it

Your personal information is used for account management, communicating with you about the service, and performing our contract with you. It is never shared or sold to external brokers, data resellers, or advertisers.

3. Your deal documents and AI processing

When you upload property documents (offering memoranda, financial statements, rent rolls) for analysis, their contents are processed by our AI service providers, Google (Gemini) and Anthropic (Claude), solely to produce your analysis. Under our agreements with these providers, your content is not used to train their models.

Your uploaded files themselves are stored in your own browser, on your own device, not on our servers. The extracted text is processed transiently to generate your results and is not retained by us after your analysis completes.

4. Payments

Subscriptions and purchases are processed by Stripe, Inc. Your card details go directly to Stripe and never touch our servers. Stripe's own privacy policy governs the payment information it collects.

5. Accounts and infrastructure

Sign-in is provided by Google Firebase Authentication; your password is held by Google, not by us. Your account record (email, plan, usage counts) is stored on Google Cloud infrastructure in the United States. Infrastructure partners operate under agreements that restrict their use of your data to providing their service to us.

6. Marketing email

We send product tips and market insights only if you checked the opt-in box at signup, and every marketing email includes one-click unsubscribe. Transactional email about your account, purchases, or security is sent regardless, because you need it.

If you opt in, we share your name and email address with our email platform, Loops (loops.so), solely to send you these product and lifecycle messages. Loops acts as our processor under agreement and does not use your information for its own purposes.

7. Referral tracking

If you arrive through a partner's referral link, we store that referral code in your browser and associate it with your account or purchase so the partner can be credited. The code identifies the partner, not you, and contains no personal information about you.

8. SMS and mobile

If you opt in to text messages, message and data rates may apply, and you can opt out at any time by replying STOP. No mobile or messaging consent data will be shared with third parties or affiliates for marketing or promotional use.

9. When we disclose information

We disclose personal information only: with your direct consent; when required by law, subpoena, or court order; to infrastructure partners under non-disclosure and data-protection obligations (sections 3 to 5); or as part of a corporate merger or acquisition, in which case this policy continues to protect your data.

10. Deal analytics

When you analyze a property, we retain anonymized metadata about the analysis, the asset type, location at the state and county level, pricing figures, and the tool's results, to understand usage and improve the product. This metadata is not linked to your name or email in our analytics systems, and your uploaded documents are never used for analytics.

11. Website analytics

We use Google Analytics 4, a service provided by Google LLC, to understand how visitors find and use our website so we can improve it. Google Analytics sets cookies and collects standard usage information such as the pages you view, the time and length of your visit, the site or link that referred you, and your device, browser, operating system, and approximate location (city or region level, derived from your IP address). Google Analytics 4 does not log or retain your full IP address, and we use it only for website analytics, not for advertising, remarketing, or building profiles about you. Google processes this information on our behalf under Google's terms, and Google's own privacy policy governs the data it collects. You can opt out by disabling cookies in your browser or by installing Google's Analytics Opt-out Browser Add-on.

12. Cookies and local storage

The application uses browser cookies, local storage, and similar in-browser storage to keep you signed in, remember your settings, and hold your uploaded documents on your device. We also use analytics cookies, described in section 11 (Website analytics) above, to measure website traffic. You can clear or disable these through your browser settings, though parts of the service may stop working without them.

13. Retention and your rights

We keep personal information only as long as necessary to operate the service or meet legal requirements. You can access, update, correct, or delete your personal data at any time by contacting us through the channels below; account deletion removes your account record from our systems.
